The Opportunity

As Facilities Administration Manager, you will be responsible for driving excellence across facilities administration, workplace services, supplier coordination, and business support activities. You will act as the central point of coordination between workplace operations, employees, leadership teams, and external service providers, ensuring seamless day-to-day operations across multiple sites.

This is a role for someone who enjoys creating order from complexity, improving processes, managing relationships, and delivering an outstanding workplace experience in a fast-paced, scaling organisation.

Key Responsibility Areas

What You'll Be Doing

Facilities Administration & Workplace Coordination

  • Lead the day-to-day administration of workplace facilities across office, laboratory, and corporate environments
  • Manage reception and visitor services, ensuring a professional and welcoming experience
  • Coordinate meeting room bookings, hospitality arrangements, and workplace events
  • Manage office systems, including workplace management and room booking platforms
  • Oversee the ordering and management of office supplies, stationery, consumables, and workplace resources
  • Coordinate incoming and outgoing mail, courier services, and deliveries
  • Ensure workplace environments remain well-maintained, organised, and operationally effective

Administrative Leadership

  • Own facilities administration processes and standards across the organisation
  • Develop and implement efficient administrative procedures, governance frameworks, and reporting mechanisms
  • Manage administrative workflows to support business growth and operational scalability
  • Maintain accurate records, documentation, contracts, invoices, and compliance information
  • Prepare reports, dashboards, presentations, meeting packs, and business updates

Supplier & Service Coordination

  • Act as the primary point of contact for facilities-related service providers
  • Coordinate maintenance activities, contractor visits, and workplace services
  • Monitor supplier performance and service delivery against agreed standards
  • Support contract administration, invoice processing, purchase orders, and budget tracking
  • Work closely with finance teams to ensure timely processing of invoices and payments

Workplace Experience & Employee Support

  • Coordinate onboarding activities, including workplace inductions and access arrangements
  • Arrange visitor management, security passes, and workplace access requirements
  • Support internal and external events, meetings, workshops, and business activities
  • Provide administrative support to leadership teams and key business stakeholders
  • Help create an engaging, efficient, and high-quality workplace experience for employees and visitors

Health, Safety & Compliance Administration

  • Support workplace health, safety, environmental, and business continuity processes
  • Deliver visitor and contractor induction briefings
  • Assist with contractor management and site compliance activities
  • Maintain health and safety records, documentation, and reporting requirements
  • Support audits, inspections, compliance reporting, and governance activities

Process Improvement & Business Support

  • Identify opportunities to improve administrative efficiency and workplace processes
  • Leverage systems, data, and reporting tools to enhance service delivery
  • Support business projects, workplace initiatives, and operational improvements
  • Maintain compliance dashboards, administrative records, and performance metrics
  • Contribute to the development of policies, procedures, and best practices

Essential Experience

  • Proven experience in facilities administration, office management, workplace operations, or facilities management
  • Experience supporting busy, fast-paced, or high-growth organisations
  • Strong administration and coordination skills with exceptional attention to detail
  • Experience managing suppliers, contractors, and external service providers
  • Experience handling purchase orders, invoicing, budgets, and reporting
  • Strong stakeholder management skills with the ability to build relationships across all levels of the organisation
  • Excellent organisational skills with the ability to manage multiple priorities simultaneously

 

Desirable Experience

  • Experience supporting technical, R&D, engineering, manufacturing, or laboratory environments
  • Knowledge of workplace management systems and facilities helpdesk platforms
  • Understanding of health and safety compliance within workplace environments
  • Experience coordinating workplace events and employee engagement activities
  • Experience supporting multi-site operations
